  1. When do we collect your personal data?

    Through an inscription request: the inscription request is made on the website of the event through an inscription form filled out by the delegate with required information as well as attached information if necessary. When completed, we also ask for authorization to send commercial communication.

    Always when the inscription requires a payment, the process is redirected to a third party so that NEBEXT never will access the delegate´s bank details, being informed only upon the completed payment transaction.

    Communication after the inscription request: if necessary, the registered individual may be contacted to provide additional information or any clarification of the information provided in the request.

    During the event: you may interact with us during the event providing additional information. When register for accreditation on the different activities we will gather information upon your assistance and participation.

    Inquiries, complaints and claims: on the website we make different channels available to contact us in case you would have any additional inquiry, complaint or claim. If any, we will collect necessary data to solve your query or manage your claim.

    When registering to our newsletter: when you register to receive our newsletter.

    Using cookies: the web uses cookies collecting information about the browsing. We recommend you read the cookies policy to have all the information about it.

  1. Purposes and lawfulness for the processing of your data

The following table shows the purposes for which we may use the personal information you provide to us and we relate them to the lawful bases that allows us to carry out the processing:

If you have given your express consent, we will process your data to send you commercial information about all the events we organise, as well as commercial information from third party companies participating in the event. The information will be processed to comply with our legal obligations and regulations as well as possible legal resolutions and other specific decisions by the authorities, including the communication of personal data to security forces and bodies whenever we have suspicions or indications of any act that could be illicit and criminal offence.

  1. Capture and use of images during the event

You should know that Nebext, in order to promote the events and activities in which it collaborates, may capture images and/or videos of the participants in the event, this capture can be done by Nebext, directly or through contracted third parties. This data processing shall be done on the basis of legitimate interest. The captures may be published on the Internet, Nebext’s website or the event’s website, on social media pages, magazines and publications.

This activity does not confer any right of remuneration or benefit to the subjects that may occasionally appear in the captures.

  1. The use of accreditation

When formalizing the registration, the participant will receive the accreditation with a QR code. This QR enables access to the facilities and the activities the person will participate in.

As an additional functionality, the QR code could be used as a substitute of a business card when visiting a booth of your interest. You may allow the exhibitors to scan your accreditation, and they will receive basic information about you, specifically: Name, surname/s, contact details, company you work for and position at the company.

Some of the scheduled events allow attendees who so wish, to provide data to the entities offering or participating in the event in question, exhibitors, sponsors and/or speakers (hereinafter “Partners”), for this, it is sufficient for the attendee to be accredited by means of the QR when accessing the conference. Accreditation is in any case voluntary and is not a requirement for access to the conference. The Partners to whom you decide to transfer your data, may treat them to contact you and send you commercial communications, the data processing carried out by the Partners will be governed by the privacy policy of each of them, not being Nebext responsible for the data processing they perform.

We remind you that, through the event website, you can access the information related to your accreditation and update it with correct data.

  1. Acceptance of the invitation

Nebext provides our Partners and Exhibitors with invitations to the event in which they participate or collaborate. Each Partner or Exhibitor, will distribute the invitations of their property as they consider, or will provide Nebext the contact details of the guests so that it is the one who performs the sending.

The use of the invitation by the interested party implies an acceptance for Nebext to proceed to communicate their personal data to the Partner or Exhibitor owner of the invitation.

Specifically, the following data will be transferred: name, surname, contact details, company you work for and position you hold, these data will be those that appear on your registration form.

Your data will be used by the Partner or Exhibitor who owns the invitation to monitor the invitations and to be able to carry out reinforcement actions to encourage the use of the invitations.

  1. For how long do we keep your personal data?

Your data will be processed during the time of the registration process. Once the registration is confirmed, data will be processed until the end of the event.

Data related to the payment of the inscription will be kept during necessary time to comply with the tax obligations.

If we dispose of your authorization to send communications, we will keep your data until you voluntarily unsubscribe or after three years since the last interaction with us. We remind you that all newsletters and commercial communications have a link to unsubscribe with a single click.

In any of the situations described above, finalized given time periods, the data will be conserved blocked during a legally specified term for the defence of any claims and to comply with legal obligations that might have been generated.

  1. To whom the data might be disclosed

Your personal data will be processed by Nebext staff. It is only intended to be communicated to public administrations for the fulfilment of legal obligations.

When a participant registers using the invitation code provided by one of our Partners or Exhibitors, Nebext will provide this partner with the data related to the registration.

Your personal data may be transferred to event Partners provided that you expressly authorize this transfer of data.

As explained in the section Use of accreditation, when the participant authorises a partner to scan the QR code on the accreditation, Nebext will provide the partner with the basic contact details contained on a business card.

  1. Which are your rights when providing us your personal data?

If we process your data, your rights are:

Right to request access to personal data: you could ask Nebext if the data is processed and access them

Right to request correction if the data is incorrect, inaccurate or incomplete

Right to request supression of your data

Right to request limits to its processing

Right to object to data processing: Nebext will end to process the personal data, with the exception that they will continue to be processed for motives laid down in the regulation.

Right to the portability of the data: in case the user prefers the data to be processed by other responsible, Nebext will provide for the transfer of the data to the new responsible

Right to not be subject to a decision made exclusively upon the automated process of personal data

At Nebext we process data based on the consent and you have the right to withdraw it at any time without affecting the legality of the process carried out previously to the withdrawal.

To exercise your rights, you should contact us sending an email to data@nebext.com or in writing to the address provided in this document.

Whenever deemed opportune, you could file a claim to the Agencia Española de Protección de Datos https://www.aepd.es/ (National Data Protection Agency in Spain).

Remember that you are responsible for the data provided. Therefore, they should be truthful, accurate and updated.

  1. Data of minors

The events organized by Nebext target professionals of legal age. In any case, if the parents or legal representatives consider their children or protected to attend any of our events  providing personal data, we kindly ask them to contact us by email at data@nebext.com.

  1. How did we collect your data?

If registered to an event, the data that we process will be the ones provided by you. The applicant should always provide with truthful information and update personal data in case of any change since we should dispose of accurate information.

If you have received an invitation sent by Nebext, you should know that the contact details for this mailing have been provided to Nebext by the Partner or Exhibitor who offers you the possibility to use the invitation. This Partner must have previously informed you of this communication of data.

The user should not include third party personal data without previous consent and information upon current privacy policy, holding exclusive responsibility of the legality of the data provided.

  1. International data transfer

We may transfer your personal information to a country outside the European Economic Area (E.E.A.) where your personal information is transferred to foreign partners or where processing is carried out by certain service providers. Such transfers are always done by ensuring that we have adequate protection of personal data through the use of safeguards permitted by law, such as the use of standard contractual clauses approved by the European Commission.

  1. Amendments

We will only use your personal data in accordance with this document, valid the moment we collect your information. In the case Nebext amend the process of your data, you will be informed.

  1. ¿En qué momento recogemos sus datos personales?

A través del formulario de solicitud de inscripción: la solicitud de inscripción se realiza desde la página web del evento a través de un formulario de inscripción que debe completar el interesado con los datos solicitados y adjuntar la información requerida si es el caso. Al completar este formulario pedimos también autorización para el envío de comunicaciones comerciales.

Siempre que la inscripción requiera de pago, el proceso de pago está redirigido a un tercero lo que supone que NEBEXT no tendrá acceso a sus datos bancarios, únicamente recibiremos confirmación de que se ha realizado el pago.

En contactos posteriores a la solicitud de inscripción: si es necesario se podrá contactar con el inscrito para solicitar información adicional o alguna aclaración sobre la información facilitada en la solicitud.

Durante el evento: es posible que durante el evento interactúes con nosotros y nos facilites información adicional. Al acreditarte en los diferentes actos recogeremos información sobre tu asistencia y participación en el evento.

Consultas quejas y reclamaciones: desde la web ponemos a disposición diferentes canales para contactar con nosotros a los que puedes dirigirte en caso de tener alguna consulta adicional, queja o reclamación, si se da el caso recopilaremos los datos necesarios para resolver tu consulta o gestionar tu reclamación.

  1. Captación y uso de imágenes durante el evento

Debe saber que Nebext, con la finalidad de promocionar los eventos y actividades en los que colabora, podrá captar imágenes y/o videos de los participantes en el evento, esta captación puede realizarla Nebext, directamente o mediante terceros contratados. Este tratamiento de datos se hará en base al interés legítimo. Las captaciones podrán ser publicadas en Internet, el sitio web de Nebext o del evento, en páginas de redes sociales, revistas y publicaciones.

Dicha actividad no le confiere derecho de remuneración o beneficio alguno a los sujetos que ocasionalmente puedan aparecer en las captaciones.

  1. Uso de la acreditación

Cuando se formaliza la inscripción, se facilita al participante una acreditación con un código QR. Este QR le acreditará como participante y le permitirá el acceso a las instalaciones.

Como función adicional podrá utilizar este QR como substituto a la tarjeta de presentación, cuando visite un Stand de su interés. Los expositores a los que usted permita escanear su acreditación recibirán información básica sobre usted, concretamente: Nombre, apellidos, datos de contacto, empresa para la que trabaja y cargo que ocupa.

Algunos de los actos programados permiten a los asistentes que así lo deseen, facilitar los datos a las entidades que ofrecen o participan en el acto en cuestión, expositores, patrocinadores y/o ponentes (en adelante “Partners”), para esto, basta con que el asistente se acredite mediante el QR cuando acceda a la conferencia. La acreditación en todo caso será voluntaria y no es un requisito para acceder a la conferencia. Los Partners a los que usted decida ceder sus datos, podrán tratarlos para contactar con usted y enviarle comunicaciones comerciales, el tratamiento de datos que realicen los Partners se regirá por la política de privacidad de cada uno de ellos, no siendo Nebext responsable del tratamiento de datos que realicen.

Le recordamos que, a través de la web del evento, usted podrá acceder a la información vinculada a su acreditación y actualizarla con los datos correctos.

  1. Aceptación de la invitación

Desde Nebext facilitamos a nuestros Partners y Expositores invitaciones al evento en el que participan o colaboran. Cada Partner, distribuirá las invitaciones de su propiedad como considere, o facilitará a Nebext los datos de contacto de los invitados para que sea este quien realice el envío.

El uso de la invitación por parte del interesado supone una aceptación para que desde Nebext procedamos a comunicar sus datos personales al Partner o Expositor propietario de la invitación.

Concretamente se van a ceder: nombre, apellidos, datos de contacto, empresa para la que trabaja y cargo que ocupa, estos datos serán los que consten en su ficha de inscripción.

Sus datos se utilizarán por el Partner o Expositor propietario de la invitación para hacer un seguimiento de las invitaciones y poder realizar acciones de refuerzo para fomentar el uso de las mismas.

  1. ¿Por cuánto tiempo conservaremos sus datos personales?

Sus datos serán tratados durante el periodo de tiempo que dure la tramitación de la inscripción. Una vez confirmada la inscripción se tratarán hasta la finalización del evento.

Los datos relacionados con el pago de la inscripción se mantendrán durante el tiempo necesario para cumplir con las obligaciones tributarias

Si tenemos su autorización para el envío de comunicaciones, guardaremos sus datos hasta que manifieste su voluntad de dejar de recibir estas comunicaciones o bien hasta trascurridos 3 años desde su última interacción con nosotros. Le recordamos que todas las newsletter y comunicaciones comerciales cuentan con un enlace que le permite darse de baja con un solo clic.

En cualquiera de las situaciones anteriores, finalizados dichos periodos, los datos se conservarán bloqueados durante el plazo determinado legalmente para la defensa ante posibles reclamaciones y para cumplir con las obligaciones legales que puedan haberse generado.

  1. ¿A qué destinatarios se pueden comunicar sus datos?

Sus datos personales serán tratados por el personal de Nebext. Solo está previsto comunicarlos a las administraciones públicas para el cumplimiento de obligaciones legales.

Cuando un participante se registra utilizando el código de invitación que le ha facilitado uno de nuestros Partners o Expositores Nebext facilitará dichos Partner y Expositores los datos relacionados con la inscripción.

Se podrán ceder sus datos personales a Partners del evento siempre que usted autorice expresamente esta cesión de datos.

Como se explica en el apartado Uso de la acreditación, cuando el participante autoriza a un Partner a escanear el código QR de la acreditación Nebext facilitará al Partner concreto, los datos de contacto básicos que se contienen en una tarjeta de visita.

  1. ¿Cuáles son sus derechos cuando nos facilita datos personales?

Si tratamos sus datos debe saber que sus derechos son:

  • Derecho a solicitar el acceso a los datos personales: usted podrá preguntar a Nebext si está tratando sus datos y acceder a los mismos.
  • Derecho a solicitar su rectificación si los datos son inexactos, o completar los datos que tengamos incompletos.
  • Derecho a solicitar la supresión de sus datos.
  • Derecho a solicitar la limitación de su tratamiento.
  • Derecho a oponerse al tratamiento: Nebext dejará de tratar los datos personales, con la excepción que deban seguir tratándose por motivos previstos en la normativa.
  • Derecho a la portabilidad de los datos: en caso de que el usuario quiera que sus datos sean tratados por otro responsable del tratamiento, Nebext le facilitará el trasvase de sus datos al nuevo responsable.
  • Derecho a no ser objeto de una decisión basada únicamente en el tratamiento automatizado de sus datos personales.

En Nebext tratamos datos en base al consentimiento y debe saber que tiene derecho a retirar el consentimiento en cualquier momento, sin que ello afecte a la licitud del tratamiento realizado previamente a la retirada.

Para ejercer sus derechos debe contactar con nosotros enviando un email a data@nebext.com o por escrito a la dirección postal que consta en este documento.

Siempre que lo considere oportuno podrá presentar una reclamación ante la Agencia Española de Protección de Datos https://www.aepd.es/

Recuerde que es el responsable de los datos que nos facilita, por eso, sus datos deben ser veraces, exactos y debe mantenerlos actualizados.

  1. Datos de menores de edad

Los eventos organizados por Nebext están dirigidos a profesionales mayores de edad. En cualquier caso, si los padres, madres o representantes legales consideran que sus hijos o tutelados nos han remitido datos personales, les rogamos que contacten con nosotros enviando un email a data@nebext.com

  1. ¿Cómo hemos obtenido sus datos?

Si se ha inscrito a un evento los datos que trataremos serán los que usted nos proporcione. El solicitante debe facilitar siempre información propia veraz y actualizar sus datos personales en la medida en que sufran cambios, puesto que debemos disponer de su información actual.

Si usted ha recibido una invitación remitida por Nebext, debe saber los datos de contacto para este envío, los ha proporcionado a Nebext el Partner o Expositor que le ofrece la posibilidad de utilizar la invitación. Este Partner o Expositor debe haberle informado previamente de esta comunicación de datos.

El usuario no deberá incluir datos personales de terceros sin haber obtenido su consentimiento previo y haberles informado de la presente política de privacidad, siendo el usuario el único responsable de la licitud de los datos que haya facilitado.

  1. Transferencia internacional de datos

Podremos transferir su información personal a un país fuera del Espacio Económico Europeo (E.E.E.) cuando se transfieran sus datos a Expositores extranjeros o cuando el tratamiento lo realicen ciertos proveedores de servicios. Dichas transferencias se realizan siempre asegurándonos disponer de una adecuada protección de los datos personales mediante la utilización de las salvaguardas permitidas por la normativa, como el uso de las cláusulas contractuales tipo aprobadas por la Comisión Europea.

  1. Modificaciones

Solo utilizaremos sus datos personales según lo establecido en este documento que está en vigor en el momento en que recabamos su información. En el caso de que Nebext lleve a cabo una modificación sobre el tratamiento de sus datos le informará oportunamente.
